Manage your account, profile, security (2FA), notifications and the customization of your workspace.
Set your account's general information
π Where to find it: Settings β Account β Account The "Account" page brings together the general settings of your Madyis Hub workspace: the company name shown everywhere in the app and the account's default language. It is the first thing to personalize after you sign up. How it works The account name acts as your workspace's identity: it appears in the left menu, in outgoing emails and to your customers. The language chosen here becomes the workspace's default language, but each team member can then choose their own language in their profile. Changes are saved immediately by clicking the confirmation button. Step by step 1. In the left menu, open "Settings" at the very bottom. 2. In the "Account" group, click "Account". 3. Fill in the "Name" field with your company name. 4. Choose the default language from the "Language" drop-down list. 5. Click the save button to confirm. Good to know - The account name is what your customers see in emails: use your company's commercial name, not a technical name. - The account ID number is shown further down on this same page; it is useful for support if you contact them. - To change the logo or remove the "Powered by Madyis Hub" mention, that is not here but in Settings β Brand.
Managing several workspaces (accounts)
π Where to find it: Account name at the top of the left menu β drop-down menu Madyis Hub lets you have several separate workspaces (accounts) under a single login β for example one per location or per brand. You switch from one to another using the selector at the top of the left menu. How it works Click the account name at the top of the menu: if you belong to several workspaces, a drop-down menu lists all your workspaces along with your role in each; clicking one takes you there. The "New account" button creates an extra workspace β only possible if your plan allows it. The number of workspaces allowed depends on the plan: Free and Starter = 1, Pro = 2, Business = 4. Step by step 1. Click your account name at the very top of the left menu. 2. In the drop-down menu, choose the workspace to switch to. 3. To create a new one, click "New account" at the bottom of the menu. 4. Give the new workspace a name and confirm; you are redirected there automatically. Good to know - Each workspace has its own conversations, contacts, AI agents and billing: they are fully separated. - If your plan's workspace limit is reached, a message will invite you to upgrade your plan. - The selector only appears if you have several workspaces or if workspace creation is allowed.
Edit your profile: name, photo and signature
π Where to find it: Avatar at the bottom of the menu β Profile (or Settings β Profile) Your personal profile contains your name, your display name, your email address, your photo and your message signature. This information belongs to you, not to the company account. How it works Your name and photo are visible to your colleagues in conversations. The "display name" is an optional nickname used instead of your full name. The message signature can be added automatically at the bottom of your replies. Changing your email logs you out for security: you will need to log back in with the new address. Step by step 1. Click your avatar at the bottom of the left menu, then "Profile" (or go through Settings β Profile). 2. Click the photo to upload a new one, or delete it. 3. Fill in "Name", optionally "Display name", and your email address. 4. Write your signature in the "Message signature" section if you wish. 5. Save each section after editing. Good to know - If you change your email, you will be logged out and will need to log back in with the new address. - The message signature saves you from retyping your contact details with every reply. - You can also set here the interface font size and the display language that is specific to you.
Interface language, text size and send key
π Where to find it: Avatar β "Profile settings" β "Interface" section Customize your comfort of use: your interface language, the text size, and the key that sends your messages (Enter or Cmd/Ctrl+Enter). How it works These settings are personal and change nothing for your colleagues. The language chosen here takes precedence over the account language. The text size adjusts the display. The choice of send key determines whether "Enter" sends the message or creates a line break. Step by step 1. Open "Profile settings" via your avatar. 2. In the "Interface" section, choose the language. 3. Adjust the text size. 4. Further down, choose your send key: "Enter" or "Cmd/Ctrl + Enter". 5. The changes apply immediately. Good to know - Choose "Cmd/Ctrl + Enter" if you often write multi-line messages.
Set your availability (Online, Busy, Offline)
π Where to find it: Avatar (sidebar) β "Set your availability" Let people know whether you are Online, Busy or Offline. Your availability affects how conversations are assigned and what your customers see. How it works You choose your status from your avatar menu. An "Automatically go offline" option switches you to Offline after a period of inactivity, so conversations aren't assigned to you when you're away. As long as you're Online, customer messages assigned to you land in your Inbox. Step by step 1. Click your avatar in the sidebar. 2. Click the selector next to "Set your availability". 3. Choose Online, Busy or Offline. 4. Turn on "Automatically go offline" if you wish. Good to know - To reply to customers yourself, stay "Online" (on computer or phone). - Your status can't be changed while an admin is viewing the account on your behalf (impersonation).
Adjust your notifications (email, push and sounds)
π Where to find it: Avatar at the bottom of the menu β Profile β Notifications Notification preferences let you choose, event by event, what you're notified about by email and/or by browser push notification (new conversation, customer message, mention, assigned conversation, etc.). How it works For each type of event, you tick the "Email" and/or "Push" column. Push notifications require you to allow browser notifications using the dedicated button at the bottom of the page. SLA alerts only appear in the list if the SLA feature is enabled on the account. An "Audio notifications" section also lets you play a sound when something comes in. Step by step 1. Open your avatar at the bottom of the menu, then "Profile". 2. Scroll down to the "Notifications" section. 3. Tick or untick the "Email" and "Push" boxes for each type of event. 4. To receive push notifications, turn on the "Browser permission" switch and accept the browser's request. 5. Optionally adjust the sound alerts in the "Audio notifications" section. Good to know - Push notifications rely on browser permission: if you've blocked them, unblock them in your browser settings. - On the installed app (PWA) on your phone, push notifications work like a real app. - Too many notifications? Turn off the less useful events and keep only "customer message" and "assigned conversation".
Change your password
π Where to find it: Avatar β "Profile settings" β "Password" section Change the password you use to sign in to Madyis Hub. How it works You enter your current password and then the new one. The new password must meet the security rules shown on screen. The section doesn't appear if your administrator has disabled profile editing. Step by step 1. Open "Profile settings" via your avatar. 2. Go to the "Password" section. 3. Enter your current password. 4. Enter and confirm the new password. 5. Save. Good to know - Forgot your password? Use the "Forgot password" link on the sign-in screen. - If you sign in with Google, manage security on the Google account side instead.
Secure your account with two-factor authentication (2FA)
π Where to find it: Avatar at the bottom of the menu β Profile β Security Two-factor authentication (2FA) adds a second layer of protection to your sign-in: in addition to your password, you enter a 6-digit code generated by an authenticator app (Google Authenticator, Authy, etc.). How it works You scan a QR code with your authenticator app, which then generates a new code every 30 seconds. You confirm by entering a code, then Madyis Hub gives you backup codes to keep safe so you can regain access if you lose your phone. The "Security" section only appears if 2FA has been enabled on the installation by the administrator. Step by step 1. Open your avatar at the bottom of the menu, then "Profile". 2. Scroll down to the "Security" section and start the 2FA setup. 3. Scan the QR code shown with your authenticator app (or enter the key manually). 4. Enter the 6-digit code generated by the app to confirm. 5. Download or copy the backup codes and store them in a safe place, then tick the confirmation and finish. Good to know - Keep your backup codes away from your phone (password manager, printout): they are your only recourse if you lose the device. - If the "Security" section doesn't appear in your profile, it means 2FA isn't enabled on your installation; contact Madyis Hub support. - Don't confuse this with Settings β Security, which is about SSO/SAML sign-in for large organizations.
Retrieve and reset your API access token
π Where to find it: Avatar at the bottom of the menu β Profile β Access token The API access token is a personal key that lets external tools connect to Madyis Hub on your behalf (via the API). It's meant for technical uses: automations, custom integrations, scripts. How it works The token is tied to your user account and inherits your permissions. You can copy it with one click to paste it into an external tool, or reset it: resetting generates a new token and immediately invalidates the old one, which cuts off any tool that was still using it. Step by step 1. Open your avatar at the bottom of the menu, then "Profile". 2. Scroll down to the "Access token" section. 3. Click the copy icon to copy the token. 4. Paste it into the external tool that needs to connect to Madyis Hub. 5. If you have any doubt about its confidentiality, click "Reset" to generate a new one. Good to know - Treat this token like a password: never share it publicly and don't put it in a code repository. - Resetting the token breaks all integrations that used the old one: remember to reconfigure them. - If you don't use any external tool or technical automation, you don't need to touch this token.
Audit logs: track who did what in your account

This feature is arriving soon in Madyis Hub β here's how it will work. π Where to find it: Settings β "Admin" group β "Audit logs" Audit logs record the important actions performed in the account (creations, edits, deletionsβ¦), along with the author, the date and the IP address, for traceability and security. How it works Each sensitive action is logged automatically. The screen shows the list, from most recent to oldest, with a readable description of the activity, the timestamp and the originating IP address. The list is paginated so you can browse the history. Step by step 1. Go to "Settings" β "Admin" group β "Audit logs". 2. Browse the list of activities (activity, date/time, IP address). 3. Use the pagination at the bottom to go further back in the history. Good to know - This is an advanced feature that may be limited to certain plans. - Useful when in doubt about a change or for compliance needs.
White label: your logo, your name, your favicon

This feature is arriving in Madyis Hub shortly β here's how it will work. π Where to find it: Settings β Brand White label replaces the Madyis Hub identity with yours across the dashboard, the chat widget and the help center: your brand name, your logo (light and dark versions) and your favicon. Your customers no longer see "Madyis Hub" but your brand. How it works You enter a brand name and upload your logo and favicon (PNG/JPG/WebP for the logo, PNG/ICO for the favicon; SVG is not accepted). Madyis Hub applies these elements live as soon as you save. White label is a Business plan feature: on the other plans, the section is visible but locked with a prompt to upgrade. Step by step 1. In the left-hand menu, open "Settings" at the very bottom. 2. In the "Admin" group, click "Brand". 3. In "Customize your brand", enter your brand name. 4. Upload your light logo, your dark logo and your favicon. 5. Click "Save": the new brand is applied immediately. Good to know - White label (logo + name + favicon) requires the Business plan; on a lower plan the section is locked. - Prepare a light logo AND a dark logo for a good result in both themes. - The SVG format is not accepted: export your logo as PNG, JPG or WebP.
Remove the "Powered by Madyis Hub" mention

This feature is arriving in Madyis Hub shortly β here's how it will work. π Where to find it: Settings β Brand β Hide branding This option removes the small "Powered by Madyis Hub" mention shown in your chat widget and your help center, for a 100% on-brand experience. How it works A simple "Hide branding" toggle turns off the mention everywhere it appears on the customer side. The change is applied automatically. Like white label, this option is reserved for the Business plan: on the other plans, the toggle triggers a prompt to upgrade. Step by step 1. In the left-hand menu, open "Settings" at the very bottom. 2. In the "Admin" group, click "Brand". 3. In the "Hide branding" block, turn on the "Hide 'Powered by Madyis Hub'" toggle. 4. Check on your site and your help center that the mention has disappeared. Good to know - Removing the "Powered by" mention requires the Business plan. - If the option seems to come back, clear your site's cache (a cached widget may show the old version). - This option is different from full white label: here you only hide the mention, there you replace logo and name.
Install Madyis Hub on your phone (PWA app)
π Where to find it: Phone browser β menu β "Install app" / "Add to Home Screen" Madyis Hub installs like a real app on Android and iPhone, without going through an app store: it's an installable web app (PWA). Once installed, it opens full screen with its own icon. How it works The Madyis Hub dashboard declares an app "manifest": your mobile browser then offers to install it on your home screen. The installed app opens straight to the dashboard, full screen, and can receive push notifications. It's the same interface as on desktop, adapted for mobile β there's no separate native app to download. Step by step 1. Open the Madyis Hub dashboard in your phone's browser (Chrome on Android, Safari on iPhone) and sign in. 2. On Android (Chrome): open the three-dot menu, then "Install app" or "Add to Home Screen". 3. On iPhone (Safari): tap the Share icon, then "Add to Home Screen". 4. Confirm: the Madyis Hub icon appears on your home screen. 5. Open the app from the icon and allow notifications so you don't miss anything. Good to know - There is no Madyis Hub app on the Play Store or App Store: you install it from the browser. - Turn on push notifications (Profile β Notifications) to be alerted to new messages like with a real app. - If the install option doesn't appear, check that you're signed in and using Chrome (Android) or Safari (iPhone).
